Australian pharma reps run on fragmented data — CRM in one system, sales in Xero or an ERP, doctor relationships locked in someone's head. Pharmafy ties it all together with AI geo-fencing, automatic relationship inference and live integrations to your finance and 4PL systems, so you can finally see the full picture of who prescribed what, where, and how it sold.
Across Australia, every pharma company runs a CRM, a finance system (Xero / MYOB / NetSuite) and a 4PL or distributor portal. None of them talk to each other in a way that lets you answer the simple question: "Which doctor at which practice generated which sale?"
The pharma industry has tried to solve fragmented sales attribution for two decades. Pharmafy's R&D programme combines geo-fencing, language models and graph relationships to do something no off-the-shelf CRM does: infer the link between a sale and the doctor who actually drove it.
Pharmafy uses the iPad's location to detect when a rep enters a known practice, hospital, or pharmacy boundary. The visit is auto-suggested in the call list — the rep just confirms what was discussed. Dwell time becomes a quantitative measure of effort.
Free-text visit notes, emails, even SMS get parsed by an LLM to extract: doctor name, drug name, requested action, mood, follow-up dates. The system writes them back as structured CRM links automatically — no manual tagging.
Heatmaps of visit density per postcode, dwell-time distributions, time-of-day patterns. Anomaly detection flags reps who are over-stretched or covering "ghost" territory. Managers see effort, not just outcomes.
The hardest problem in pharma sales: invoices are issued to wholesalers, not doctors. Pharmafy combines geo-fenced visits, contact relationships, postcode coverage and Xero invoice timelines to statistically attribute sales back to the prescribing HCP.
Pharmafy maintains a live graph of doctors ↔ practices ↔ reps ↔ products ↔ sales. New invoices, contacts, or visits are automatically linked using name + address fuzzy matching, with a confidence score.
Survey responses, sample drop counts, follow-up timeliness — fed into a per-doctor "engagement score" that's correlated with prescription growth. Tells the team where to invest more rep time.
Pharmafy plugs into the systems you already pay for. Xero is live today; MYOB and the major ERPs ship next. Custom adapters available for AU 4PL distributors and hospital procurement portals.
Each integration is two-way where the source supports it: invoices land back into Pharmafy, and rep activity (visits, samples) can be exported to the source system or to Power BI / Tableau.
Pharmafy was designed alongside Australian field teams who told us what was wrong with every CRM they'd been forced to use. Every screen has been used in a hospital corridor, on an iPad, with one hand free. If a rep can't log a visit in 8 seconds while walking out of a meeting, we change it.
Used daily by reps across Victoria and NSW. Designed in Melbourne.
No vapourware — every feature below is in the running build, used in the field on iPad.
Allocate any number of postcodes to a rep; Pharmafy auto-suggests the doctors and practices in that catchment.
Photos, addresses on a live map, ABC tier, capacity (beds / doctors / nurses / patients) and editable specialty taxonomy.
Plan, log and report visits with outcome ratings, canned request types (sample / AE / info pack / study referral).
One-click survey to the doctor — scores the rep, the team, the value of the visit. Results land back on the engagement.
Master product list with PI, regulatory codes, EAN, and per-product PDFs. Email any document straight to a doctor with full audit trail.
OAuth into your Xero org and pull invoices into Pharmafy. Sales-by-practice next to engagement history.
Live overdue counts, by-rep workload, 7-day pipeline. Built for managers who don't want a Monday-morning surprise.
Built-in SMTP and Twilio. Documents to doctors, OTP to reps, feedback links to HCPs — every message logged.
Installable PWA + native iPad WKWebView wrapper, photo capture, sticky safe-area-aware navigation.
Pharmafy's geo-fenced visit detection, multi-system relationship inference and AU-medicine LLM extraction qualify as experimental research activities under the AusIndustry framework — they generate new knowledge that isn't available off-the-shelf, and the outcome is genuinely uncertain when the research begins.
